How to create contract templates and use them efficiently in employee profiles – including tips on digital signatures and contract previews.
Create Contract Templates
To save time—especially with frequently changing staff—you should use contract templates. This way, you don’t have to rewrite everything for each contract, just adjust variable data.
Create a Template
Go to the Account Settings and create a new contract template:
- Give the template a name.
- Insert your contract text (“wording”). You can also paste in content from a Word document.
- Style the text with the following options:
- Formatting: bold, italic, strikethrough
- Alignments: left, center, right
- Headings: H1, H2, H3
- Lists: ordered, unordered, checkboxes
- Tables and links
Use Placeholders
After creating the fields, you can insert them into the contract text using the @ key. When creating a specific contract, the placeholders will automatically be replaced with the employee data.
Create a Contract from Template
Once the template is ready, you can use it in the employee profile under the Contracts tab:
- Click on Create New Contract.
- Select the appropriate template.
- The contract will be created and all placeholders filled.
The contract will now have the status “Creating”. You can still edit it or view a preview.
Share Contract Preview
You can activate a preview above the contract. This generates a public link that you can share until a specified date.
You can stop the preview at any time. After the set date expires, the link is automatically deactivated.
Sign Contract
In the “Sign” tab, the signature process begins. There are two options:
Sign Offline
- Choose “Print and sign offline”.
- The contract will have the status “Signing” and a PDF with the “Draft” label will be generated.
- After signing by hand, you can:
- Finalize the contract → status becomes “Completed”
- Or cancel the process → status reverts to “Creating”
Digital Signature
- Select the signers in the form.
- When a signer is ready to sign, a one-time password is sent to their email.
- Once everyone has signed:
- the contract is automatically finalized and
- a final PDF is generated—with timestamp and digital signatures.
Legal Info on E-Signatures
In the EU, there are three signature levels:
- Simple
- Advanced
- Qualified
This solution uses the simple electronic signature, which is sufficient for many permanent employment contracts.
